Job Description
Zendesk is looking for a professional and accountable Workplace Experience Operations Coordinator to join our rapidly expanding Workplace Experience Team in Dublin. We are the department that keeps day-to-day life running smoothly for Zendesk’s employees, and we have a lot of fun along the way! This role would suit someone in the early stages of their career in Facilities Management with experience in multi-site operations. Based in Dublin, you will be responsible for coordinating operations and providing support to the local teams.

Responsibilities:
- Provide exemplary customer service to employees.
- Handle the ticketing system, providing high level of customer satisfaction through tickets assigned to you.
- Perform periodic walk-throughs and audits of the office, documenting and coordinating any necessary follow-ups.
- Liaise with vendors as needed.
- Coordinate the management of vendors, including assisting in procurement process and performance management.
- Maintain and coordinate cleanliness and safety of assigned building(s) and areas, kitchens, equipment, and physical plant.
- Coordinate and document all employee desk assignments, new hire set-ups, moves, and changes.
- Maintain Workplace Experience master documents, spreadsheets, calendars, and floor plans.
- Lead internal communications on up-to-date building events, maintenance, safety, and other issues.
- Assist with all safety matters relating to the workplace.
- Coordinate the food and beverage program, including placing and stocking orders as necessary.
- Assist Operations Lead & Team with office moves, projects and office build-outs.
- Develop and update Standard Operating Procedures.
- Provide orientation for new employees.
- Coordinate the Wellness program for Dublin office.
- Preparation and maintenance of Help Centre articles.
- Perform other duties and special projects as requested.
Requirements:
- Minimum of 2 years’ experience in Facilities/Office Coordination/Management
- Excellent communication skills across employees at all levels within the organisation
- Demonstrated project management skills
- Strong computer skills including experience with Google Suite
- Interested in and adept at learning new computer programs and skills
- Familiarity with building operations (lighting, air conditioning, flooring, etc.)
- Demonstrated ability to handle multiple tasks with little or no supervision
- Advanced problem solving skills
- Positive attitude; grace under pressure
- Accurate, organised, punctual and accountable
Preferred Skills/Qualifications:
- Academic qualification in relevant discipline, degree / diploma preferred.
- Experience with light furniture assembly (cabinets, shelving, etc.).
- Experience with Building Management Systems and access control (Brivo or S2) software
- Member of professional Facilities Management association
Additional information:
- Core hours for this role are Mon-Fri, 8:30am-5:30pm; overtime sometimes required
- This is a Fixed-term Contract for 12 months
