Overview
The Payroll Program Manager is responsible for timely and accurately paying our employees. Responsibilities include, but are not limited to: updating the time-keeping system, including time off and hours worked information for employee population; posting and coding of wages; processing new hires, separations, and employee change requests in payroll system; ensuring accurate and timely payroll processing to reflect all employee additions, changes, and separations; and assisting senior payroll personnel with payroll tax compliance.
Responsibilities
- Use significant experience and best practice knowledge to independently provide problem resolution and follow-up to complex payroll inquiries by leaders, employees, terminated employees, and other human resources staff; assist other payroll personnel with complex issues
- Timely and accurately process new hires, ECRs, and Separations into HCM system; leverage past experiences to proactively identify and resolve conflicting and/or erroneous information
- Serve as subject matter expert for US payroll; guide and provide resolution to other payroll personnel when issues arise with Poland payroll processing
- Develop and document processes and procedures for International payroll processing, expat payroll processing, payroll tax processing and payroll tax compliance
- Facilitate and lead payroll processing for International employees to ensure adds, changes, and separations are accurately reflected
- Responsible for accurate and timely filing of quarterly and annual payroll tax reports
- Responsible for filing amended payroll tax reports when needed
- Lead the year end payroll processes; coordinate payroll and benefit activities with human resources service team
- Administer proper checks and balances to ensure integrity of and accuracy of payroll data and compliance with all government requirements
- Execute the process for obtaining and tracking the company's state and local registrations for withholding and unemployment; works directly with vendors and provides guidance and information
- Completes state and local registration applications as required; ensures that new company local tax ID numbers are obtained and provided to third party payment/wage & tax services provider in a timely manner so that tax filing responsibility does not fall to the company, and to prevent tax penalties and fees
- Leverage past experiences to determine and implement significant process improvements and system enhancements to current payroll processes and technologies
- Lead in the review and performance evaluation of technologies; including but not limited to new HCM modules, new releases, new integrations, and new systems
- Serve as primary contact for vendors and service providers
- Mentor, coach and train other team members
Qualifications
- Bachelor's Degree
- Significant experience in Poland payroll administration
- Experience in EMEA payroll administration (s) preferred
- Significant payroll tax experience
- Microsoft Windows and Office proficient
- Successful completion of courses or seminars related to payroll administration
- Self-motivated with the ability to manage projects to completion independently
- Highly organized and experienced at multi-tasking
- Ability to work in a flexible, fast-paced environment
- Strong oral and written communications skills that demonstrate a professional demeanor and the ability to interact with others with discretion and tact
- Demonstrated ability to handle sensitive information with discretion and tact
- Detail oriented; regularly verifies all work thoroughly and efficiently to ensure accuracy
- Driven to learn and stay current professionally
- Anticipates and prepares for future events and outcomes; regularly examines issues and plans with a long term perspective
- Up to 5% travel time required
