We’re seeking an Office Administrator to support our San Francisco office. As the Office Admin, you’ll be the first point of contact for team members and guests, so this is a perfect role if you’re outgoing, proactive, and smart. You’ll be called upon to roll up your sleeves to keep our office humming while assisting with important tasks like ensuring our guests are welcomed, managing our vendors, organizing our common areas, and responding to daily requests from various team members. Hours will be 8:30am - 5:30pm (with an hour lunch). You’ll report to the VP People.
What you’ll be doing
- Reception Duties:
- Be aware of our guest visit schedule, be present to greet guests, ensuring they have a great experience once they walk through our doors
- Assist Recruiting team with ensuring interviewees are welcomed warmly and seated in appropriate interview rooms
- Manage incoming and outgoing mail as needed (FedEx, UPS, USPS, etc)
- Answer internal and external calls as they come in
- Facilities / Office Duties:
- Monitor, maintain and serve as first point of contact for all tasks related to the overall appearance and presentation of the office to reflect Affinity’s culture.
- Responsible for managing the upkeep of the office, ensuring the office space is tidy and clean. This includes upkeep and maintenance of the lunch and kitchen area, meeting rooms, etc.
- Oversee day-to-day interactions with existing food/beverage vendors
- Assist in planning and executing fun onsite events and project planning (happy hours, parties, etc.).
- Maintain conference rooms to keep them ready for the next meeting
- Order office supplies, as needed; organize office supply closets and cabinets
- Help track budget & spend against all of the above items
- Coordinate building maintenance or repair requests
- Work closely with People and Recruiting teams to support important projects

- Exhibit an upbeat attitude and positive approach to work
- Excel at providing the highest level of customer service to guests, fellow employees and vendors
- Present a sense of urgency when given projects and good about progress updates
- Are proficient in managing multiple projects effectively, with a high degree of accuracy and in a timely manner
- Have a good working knowledge of Google Mail, Google Docs, Word and Mac environments
- Are proficient with basic math and accounting skills
- Have a minimum 2 years’ office administrative and reception desk management experience
- Comfortable working with initiative and are a self-starter
