Executive Assistant- Eye Care Sales
YOU ARE more than just a title, YOU ARE... - A Reliable Partner. You will provide administrative support for a Vice President and other Executives on the Eye Care Sales team. You will work with leaders and maintain extremely busy schedules and have frequent Executive level contact, requiring a highly professional administrative assistant.
YOU WILL: - Manage teams’ budgets. Responsible for updating internal department budget system as well as tracking of invoices for timely payment.
- Provide daily administrative assistance . Conducts routine correspondence, primarily by email, in a concise, grammatically correct and error-free manner. Keeps team members’ contacts updated in Outlook. Prepares and distributes meeting reports and expense reports. Arranges complex travel for assigned leaders.
- Schedule various meetings and events . Arranges frequent and complex internal and external meetings and teleconferences and sends invites through the Outlook Calendar.
- Work well with others. Uses good judgment in interactions with others. Enjoys working in a fast paced ever changing environment. Approaches responsibilities with a positive, team-oriented, proactive attitude and is eager to learn and develop in the position.
- Communicates effectively and appropriately. Will communicate both a written and verbal manner, within Allergan and with external companies.
- Prioritize. Manage tasks among assigned leaders in a highly cross functional work environment.
- Maintains filing system . Manager files for managers and works with others in the department to coordinate the filing system, both for paper and electronic files. Adheres to the file retention policy of the company and the department.
- Build relationships and bridges. Provides coverage for other administrative assistants as necessary and works cooperatively with the entire Global Commercial Assessment team.
- Abide by policies. Adheres to corporate and department SOPs and policies.
YOU BRING: - Thorough knowledge of and experience with Microsoft Office applications, including Outlook, Word, Excel, Skype, WebEx and PowerPoint. Experience with expense and attendance reporting systems.
- Excellent oral and written communication skills; positive, can-do personality traits.
- Proven ability to interact successfully with all levels within a corporate environment; sound judgement and proven team player.
- Ability to provide solutions to problems/issues identified on the job.
- Ability to manage multiple tasks and priorities simultaneously; demonstrated willingness to adapt to a rapidly changing healthcare environment which may call for changing skills.
- At least three (3) years administrative support or related experience; experience in pharmaceuticals or healthcare industry a positive.
- High School Diploma or GED required; College Degree a plus.
