Why We Need You: PagerDuty is looking for a customer service oriented, resourceful, personable and extremely organised Workplace Experience Coordinator for our rapidly growing London office. In addition to taking care of our workplace and day to day requests that keep the office running smoothly, our Workplace Experience Coordinators are the “face” of PagerDuty to our employees and visitors. This role requires an outgoing, positive self-starter with strong attention to detail, professionalism and superb communication skills.
Key Responsibilities:
- Responsible for the smooth operations of our offices, delivering a positive employee experience, including employment anniversaries and birthdays
- Responsible for space planning to meet the needs for team collaboration and productivity
- Responsible for the day to day relationship with landlord (currently WeWork)
- Assist in assessing real estate needs, identifying new office space (as needed), and move management (as needed)
- Embody the PagerDuty culture and create a warm, welcoming experience for our employees and guests
- Responsible for managing and organising internal EMEA events (trainings, business meetings, happy hours, meet-ups, and Team social events)
- Coordinate with marketing to organise small sales, marketing and customer events on-site and off-site
- Be the first point of contact for new hires when it comes to questions about the office, and assist with the internal onboarding processes, delivering a welcoming experience
- Manage food and beverage services, catering for the office as needed
- Organise office volunteer events to ensure employees meet 1% pledge
- Responsible for office health and safety programs
- Take pride in keeping the office, meeting rooms, and common spaces well organised and tidy
- Assist in ordering office supplies, booking meeting rooms, managing access cards, and invoicing processes
- Manage access control for the office
- Provide administrative support to EMEA Sales Leadership, with occasional note and action taking on leadership meetings
- Other duties as assigned
Skills and Attributes:
- Excellent oral and written communication skills
- Excellent organisation and project management skills
- A self-starter who seeks out opportunities to make improvements around the office and in our processes
- Willing to roll up your sleevesExperience in organising in-house events
- An outgoing personality with strong customer service orientation
- A keen understanding of confidentiality and ability to deal with sensitive data
Minimum Qualifications:
- Must have 2+ years of office/facilities management experience, including the planning and execution of an office move for 30+ people
- Prior experience in office space search, site selection and office fit outs
- Must have experience working in fast-paced, high growth environments
- Must have prior experience with G-suite, Mac platformOn request, must be able to work evenings to assist with events
Preferred Qualifications:
- Bookkeeping & budgeting experience
- Prior vendor negotiations and vendor management experience
- Prior experience with HR and recruiting administration
- Project management experienceBasic knowledge of SFDC software
