Job Purpose

The Office Operations Specialist will provide day-to-day administration and operations for our growing company.

This role must be on-site at our corporate office located in Washington, DC, with some flexibility of working remotely.

Office Management

  • Maintain a clean, safe and reliable work environment - including kitchen cleanliness; conference room maintenance and common area accessibility.
  • Vendor Management; compost, AED machine, shredding, identifying new vendors, etc.
  • Enable greater office efficiency by designing systems, office layout, and creating office procedures.
  • Serve as the primary point of contact for the building management on all operational inquiries and projects.
  • Manage front desk operations and schedulingj
  • Manage inventory of office supplies, equipment, and pantry items for kitchen/common space.
  • Manage incoming and outgoing mail and shipments
  • Manage IT support interactions and coordination of office machines maintenance
  • Manage office security and access for employees and visitors
  • Plan and coordinate on-sites/off-sites, gatherings, all-hands meetings
  • Assist the T&C team with in-office events
  • Coordinate facilities maintenance and repairs as needed and manage associated landlord interactions
  • Compile and process expense reports, reimbursements, etc. in an accurate and timely fashion
  • Support HR, IT, the executive team, and the Chief of Staff to the CEO as requested
  • Lead the Recruitment Coordination function; responsibilities include but are not limited to:
    • Coordinate with candidates and hiring teams to schedule phone, onsite and virtual interviews
    • Manage candidate activity and job postings in the Applicant Tracking System (ATS) in a timely manner
    • Provide follow-up correspondence to candidates on recruiting status via phone and email
    • Arrange candidate travel and process travel-related expenses using Expensify
    • Collaborate with the recruiting team to plan and execute career fairs and other recruitment related events
    • Serve as the main point of contact for onsite interviews by greeting candidates, providing office tours and shepherding candidates through their visit
    • Provide support during the post-offer stage of recruitment processes (coordinate on-boarding meetings, track and file new hire paperwork, process background checks, etc.)

Required Skills/Experience:

  • Bachelor's Degree
  • Anticipatory mindset
  • 2+ years experience in a professional environment
  • Exceptional organizational skills that reflect ability to perform and prioritize multiple tasks seamless with excellent attention to detail
  • Able to prioritize and manage multiple tasks
  • Demonstrate proactive approaches to problem-solving with strong decision-making capability
  • Strong written and oral communication skills; comfortable communicating with and building relationships with various stakeholders including the leadership team, staff, clients, investors, and board members
  • Highly resourceful team-player, with the ability to also be extremely effective independently
  • Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response
  • Proficient with both the Google suite and the Microsoft suite of applications
  • Warmth, humble mentality, resourcefulness, impeccable judgment and ability to be decisive to keep progress moving forward
