We’re also a
Certified B Corporation . We have big growth plans for 2022 and our Chief Executive Officer, Nick Francis, is looking for an Executive Assistant to support him as we scale.
About the Role
- Time and Calendar: This work includes being the primary contact for scheduling, actively managing the CEO’s calendar(conflicts, looking ahead, etc.), and creating reports that keep him informed about how he spends his time.
- Coordination: You’ll make sure the CEO can stay on top of upcoming meetings, town halls, off-sites, people management, and strategic sessions. For example, every six months you’ll help the CEO collect self-assessments, update roadmaps, and schedule check-ins with all his direct reports(including you!). You also may do research and help put together agendas for off-site or strategic meetings.
- Administrative tasks: You are the chief gift giver, helping out with teammate gifts or any other thoughtful things that would be nice for the CEO, the leadership team, or the company to do. The CEO may also ask for you to help out with other tasks like travel research/booking, expense reporting, or communications.
- Advisor: You have access to a lot of information, meetings, and people in the organization. Not only do you treat the above with care, but you use them to operate as a trusted advisor to the CEO.
- Leadership support: If the leadership team needs help with a project, you are our go-to person. That could mean helping plan off-sites and retreats, collecting meeting prep materials, managing a team calendar, or taking on some other administrative work to free up time for folks. In general — and within reason, of course — you’ve got our back if we need some help.
- Special Projects: Your skills(see below) and cross-team relationships uniquely qualify you to work on certain special projects that drive value and engagement for the business. Maybe it’s helping to plan a team/company retreat agenda, or maybe it’s moving forward certain B Corp Certification efforts. In any case, these products create a lot of leverage for the team.
- Professional development: If you’re interested in expanding your business skill set, like making presentation decks or analyzing data, there are opportunities to do so. If there are soft skills like public speaking or executive presence you’d like to build, we will find ways together to support that growth.
- Salary : We have an internal transparent salary matrix for each team. For this role, we are paying $98,000-$114,000 USD. Read more about how we approach compensation here !
About You
- You have multiple years of experience supporting C-Suite executives, CEO preferred. You’re comfortable working with everyone from the highest-level stakeholders to individual contributors.
- You are proactive. You think one step ahead of how you could take items off the CEO’s plate and make his work more effective.
- You are tech fluent. You understand the basics of how a tech company works, and how the organizations work together. You appreciate the importance and value of data and numbers in running a business.
- You are an excellent written and verbal communicator.
- You treat privileged information with care.
- You are a creative problem-solver. When something goes off the rails, you jump in with ideas and a strong will to make things happen.
- You are a self-starter. You can ideate and bring to completion tasks, with minimal feedback, in an ambiguous environment on short notice.
- You are an all-star collaborator. You think three steps ahead and anticipate people's needs and enjoy helping others and making their priorities your own.
- Please note that at this time, we are only able to hire in the following locations: United States, Canada, Australia, Finland, Ireland, Netherlands, Poland, United Kingdom, Denmark, Germany, and Norway. We are looking for someone who can work in United States Mountain Time.
Benefits
Competitive salary - Our salary formula is public to all employees (but doesn't divulge your specific salary) and we update it at least once per year. Your salary is the same no matter where you live. Our goal is to pay at or above the market rate of a US-based tech hub like Boston or Seattle.
Health and dental insurance - We cover you and your family's health/dental insurance 100%. If you are based in the US, we'll cover you on our Aetna policy. If you're based outside the US, we'll reimburse your out-of-pocket health and dental insurance costs.
Long-term/short-term disability insurance & life insurance - we cover 100% of the premiums for LT/ST disability insurance and base life insurance. You also have the option to purchase supplementary life insurance through our provider (currently US only).
Flexible vacation - Take time off when you need it! We recommend 3-4 weeks in addition to public holidays, but there are no firm rules. We trust you.
Sabbatical - After you've been at Help Scout for 4 years, you get a month of paid vacation (in addition to regular vacation) and $2,500 to spend towards travel, learning, projects or anything else during your time off.

Bonuses - everyone is eligible to receive a quarterly bonus up to 8% based on shared company revenue goals.
Set you up for success — we’ll get every new teammate a Mac laptop or equivalent of their choice, and provide a $1500 stipend so you can feel ready to work from home. We also cover up to $350 USD per month if you'd like to rent a co-working desk somewhere.
