Under the supervision of the Senior Manager, Fitness and Wellness, the Program Coordinator's (NE S SEIU 925 Non Supv) primary tasks include supporting group rentals of the Waterfront facilities and grounds as well as other UW Recreation facilities, providing coverage and customer service support of the Waterfront’s various operations, and performing administrative tasks such as supporting department-wide initiatives and committee work in the areas of Staff Development, Assessment, and Risk Management.

DUTIES AND RESPONSIBILITIES
The following represents a variety of the responsibilities assigned to the person in this position. The examples represent typical work, but are not intended to be inclusive of all duties required for this position:
Customer Service and Facility Coverage
  • Instruct the work of the Recreation student staff.
  • Carry out both opening and closing routines for the Waterfront Activities Center, ensuring the building is secure.
  • Provide Waterfront coverage on all home football game days.
  • Respond to inquiries made via phone, in person, or email about department facilities, activities, programming, policies, and procedures, providing accurate and timely information.
  • Utilize Fusion to sell, rent, and register customers for various activities.
  • Assist Managers with entering class and activity information into Fusion.
  • Enforce institutional and facility use rules and regulations (e.g., identification checks, shoe policy, music policy, etc.). Resolve facility use conflicts (e.g., reservation conflicts, patron use conflicts, etc.)
  • May be assigned to cover other areas within the facility or department as necessary.
    Administrative Responsibilities
  • Support members of the Executive Team in accomplishing departmental committee work. This may involve compiling meeting notes, event planning, day of support, aiding with the on-boarding of student staff, etc.
  • Provide general office administrative support by updating staff name tags, maintaining the staff contact sheet, distributing mail, paying bills.
  • Complete facility inspection logs. Initiate appropriate action to correct facility activity space and equipment use safety problems. Recommend facility maintenance to be performed (e.g., submit maintenance or custodial requests in Maintenance Care).
  • Monitor UW Recreation supply inventory. Update reports as needed.
  • Complete department reports as necessary, e.g. theft, incident, accident, monthly/quarterly reports, etc.
  • Assist with administrative tasks/projects for other program areas (e.g., monitor Club practices, assist with Gear Garage rentals, etc.).
  • Serve as a Workday I-9 Coordinator. Verify new employee documents and complete the Workday I-9 form.
    MINIMUM REQUIREMENTS
  • High school graduation or equivalent AND two years of administrative support in campus recreation or equivalent education/experience.
    DESIRED QUALIFICATIONS
  • Bachelor’s degree preferred.
  • Knowledge of boating and collegiate recreation activities.
  • Experience utilizing Microsoft Office applications to compile statistical data and draft documents.
